Digital Automation Explained: How to Implement It for Business Success

In today's digital landscape, "automation" has become a buzz word for businesses. The term itself encompasses a wide range of topics and ideas. With the emergence of impressive technologies such as chatbots, cloud computing, and workflow management systems, business owners are scrambling to implement the latest and greatest technology out there. But what is digital automation, and what does it mean for you? You’re probably already using automation for your business, whether you’re aware of it or not. Most software tools incorporate technology to improve efficiency and boost the productivity of its users. Digital automation is the process of using that technology to streamline processes and automate workflows. In this blog post, I'll dive into some automation technologies I'm familiar with, including API integration, Robotic Process Automation (RPA), and scripting. I'll also discuss why you should use these tools for your business and some simple ways you can start implementing them now.


Understanding Workflow Automation

First, we need to understand what workflow automation is and how it's applied. Workflow automation is a type of digital automation that automates a sequence of tasks and actions to complete a specific workflow or business process. Most businesses have the ability to create basic automations with software tools they already use, such as CRMs (Customer Relationship Management software), email marketing platforms, accounting software, productivity tools, and project management tools. These software can offer workflow automation features ranging from simple to advanced (depending on your subscription plan).

For example, CRMs like Salesforce, HubSpot, and Zoho CRM enable businesses to automate lead nurturing, deal tracking, and customer communication; accounting and bookkeeping software like QuickBooks, Xero, and FreshBooks can automate invoice generation, payment reminders, and expense tracking; and project management tools like Asana, Trello, and ClickUp can automate task assignments, progress tracking, and notifications.

Workflows can be created within these tools to trigger actions based on specific conditions. These automations provide immediate benefit for small businesses that choose to use them. Spending just a few minutes exploring the capabilities of your existing software can unlock massive time-savings for you and your business. Or you could research some other tools on the market to see if another provides automations that fit your needs better. Either way, these built-in features are the easiest and most accessible way for small businesses to start automating, so it's worth becoming familiar with your current tools to learn how you can leverage them for your business.


API Integration

Another form of workflow automation is more comprehensive and versatile for small businesses. API integration is a technology that forms the basis of business automation platforms like Zapier, Make, and IFTTT. These tools integrate with various apps and systems, allowing businesses to create custom workflows that trigger actions and automate data transfers. The main benefit of these tools is their ability to offer seamless integration, flexibility, and scalability for businesses. While the native workflow automations of most software can be limiting, API integration tools provide a more extensive way to automate workflows across applications.

As an example, consider a scenario where you need to onboard a customer to your services. The automation will need to transfer the new customer's information between your CRM, email marketing platform, and project management tool whenever you gain a new customer. An integration platform can integrate with all of these apps to deliver a streamlined process within the same workflow automation, looking something like this:

  1. Customer is added to the CRM.

  2. A personalized welcome email is sent to the customer from your email marketing platform.

  3. A new project in your project management software is created, which is then shared with the customer.

Automating this process ensures consistent communication and a smoother experience for your customer. Additionally, using an integration platform to automate this sequence allows you to easily modify or add steps and connections later if the process were to change.

API integration is an effective way for business owners to create more comprehensive workflow automations. If you're looking to scale your business, the integration tool will likely pay for itself by saving you hours of time and the need to hire an assistant. These tools are designed to be easy-to-use and many offer a free tier for businesses to explore their features. If you are interested, Zapier has a very basic free plan that allows up to five single-step workflows, and Make's free plan allows up to two multi-step workflows. Other popular options with free plans include IFTTT and Pipedream. Each integration tool has its strengths and weaknesses in regard to usability, capability, and pricing. I recommend trying a few different options and choosing one you like the feel of and provides the most flexibility in terms of automations.


Robotic Process Automation (RPA)

A lesser-known (but just as powerful) digital automation tool for small businesses is Robotic Process Automation (RPA). This technology utilizes software robots or "bots" to automate rule-based tasks by mimicking human interactions with digital systems. For example, an RPA robot can automate form filling, document processing, and data validation required when onboarding a customer. RPA robots can also interact with web and other applications the same way a human can, which opens up a vast array of automation possibilities. RPA is best suited for automating tasks that are repetitive and mundane, allowing business owners to focus on higher-value activities that require human intelligence and creativity.

RPA is sometimes perceived to be more complex and enterprise-focused compared to workflow automation, but many RPA tools provide a user-friendly no-code way for non-technical users to get started with RPA. UiPath is a popular RPA software that offers a visual and intuitive interface with a drag-and-drop functionality. Microsoft Power Automate is another option that integrates with various Microsoft applications and services, making it easy for non-technical users to automate tasks across the Microsoft suite. Many RPA tools also provide API integration capabilities alongside User Interface (UI) automation, which enables the merging of both API and RPA technologies.


Scripting Automation

Another automation method worth mentioning is scripting. If you've used Excel, you might have heard the term "macro" before. A macro is a way to record steps in an application (like an Excel spreadsheet) to generate code in a script to run those steps again. These scripts can automate repetitive operations, data manipulations, and formatting tasks very efficiently within office suites such as Microsoft and Google.

For small business owners or professionals that use these office tools, macros are a great way to get started with script automation. Simply start recording some steps and replay the macro to watch how it works. You can then view the code that was generated from the recording and experiment with adding logic to handle various conditions. There are plenty of online resources that can teach you how to read and understand Visual Basic (the language used in Microsoft scripts) and Apps Script (the language used in Google scripts). You can also leverage the capabilities of chatbots like ChatGPT to help write and debug code for your automation task. Using scripts to automate even simple manual tasks can save you lots of time in the long-run if you perform those tasks frequently enough.


The Future of Business Process Automation

On the topic of chatbots, Artificial Intelligence (AI) is transforming the landscape of process automation for small businesses. AI-powered solutions such as intelligent chatbots, predictive analytics, and natural language processing are readily available and revolutionizing the automation of tasks such as marketing research, content creation, and customer communication. Predictive analytics leverages AI algorithms to optimize resource allocation and enable data-driven decision-making. As small businesses strive to remain competitive and drive growth, embracing automation has become essential. Looking ahead, the potential for automation and AI to further transform business processes is immense, providing small businesses the tools they need to succeed in the digital era.
